These Terms of Service ("Terms") govern your use of GovPilot, a professional file-tracking and ministry-clearing application powered by KTS ("we", "us", or "our"). By creating an account or using GovPilot you agree to these Terms in full.
If you do not agree to these Terms, you must not use the application.
1. Description of Service
GovPilot is a multi-tenant SaaS application that helps clearance offices, law firms, notary offices, and government brokers track client files through government ministry pipelines. The service includes:
- File and client management with step-by-step stage tracking and status updates
- Document scanning (camera) and upload (photo library) with cloud storage
- Financial transaction tracking in USD and LBP per file, with financial reports and PDF export
- Role-based team collaboration (Owner, Admin, Member, Viewer) with per-member visibility controls
- Push notifications for file activity, configurable per user
- Service and stage catalogue management including required document checklists
- External assignee (network contact) management
- Custom client and team member fields
- Calendar view with stage due dates
- Global search across files, clients, documents, comments, and transactions
The service is available as an Android application (APK) and as a Progressive Web App (PWA) installable on iOS via Safari.
2. Account Registration
To use GovPilot you must create an account with a valid email address or phone number and a secure password. You are responsible for:
- Providing accurate and current registration information.
- Keeping your login credentials confidential and not sharing them with others.
- All activity that occurs under your account.
- Notifying us immediately if you suspect unauthorised access to your account.
You must be at least 18 years old to create an account. Accounts registered on behalf of a business must be created by an authorised representative of that business.
Each person must have a unique phone number or email address. Attempting to register with a phone number already linked to another account will be blocked.
3. Organisations and Teams
GovPilot is designed for use by organisations. Each organisation has one Owner who manages the workspace. The Owner can:
- Invite team members using single-use invite codes with role assignments.
- Assign roles (Admin, Member, Viewer) to control each member's access level.
- Revoke access for any team member at any time.
- Control which files each member can see using per-member visibility settings.
- Edit the organisation name and manage subscription plans.
All data entered into GovPilot is scoped to your organisation. Other organisations cannot access your data.
4. Acceptable Use
You agree to use GovPilot only for lawful business purposes. You must not:
- Upload or share illegal, fraudulent, defamatory, or offensive content.
- Attempt to reverse-engineer, decompile, or extract source code from the application.
- Use the service to store personal data you are not authorised to process under applicable law.
- Interfere with or disrupt the service, its servers, or its infrastructure.
- Share your account credentials or invite codes with unauthorised persons.
- Use automated scripts or bots to access or scrape the service.
- Use the service in any way that violates applicable laws or regulations, including data protection laws.
5. Subscription Plans and Billing
GovPilot offers a Free plan and paid plans (Solo, Basic, Premium). Plan details are displayed in the app under Account → My Company → View Plans.

Free plan: includes a 30-day full-feature trial from the date of organisation creation. During the trial, all features of the Premium plan are unlocked, including unlimited team members and unlimited file creation. The lifetime file counter still accrues on every file created.
After 30 days, the account automatically transitions to the permanent Free tier with the following limits:
- Up to 3 team members
- A cumulative (lifetime) allowance of 20 files. The 20-file allowance counts every file ever created by the organisation, including files that have been deleted or archived. Deleting a file does not restore the lifetime allowance.
- Document scanning, basic financial tracking, and stage tracking are retained.
- Financial reports & export, PDF document upload, and priority support are not available on the Free tier.
After reaching the 3-member or 20-file cap, continued growth requires upgrading to a paid plan. No payment is required to use the Free tier.

Solo plan: the single-seat paid tier — designed for self-employed brokers, individual makhatir, and consultants who do not need to collaborate with a team. Includes:
- 1 team member (the account owner only — invitations to add more members are disabled on this plan)
- Unlimited files (no lifetime cap)
- Document scanning & multi-page PDF generation
- Full financial tracking (per-file expense / revenue ledger, USD & LBP)
- Stage & status tracking
- Financial reports & export (PDF / HTML financial reports)
- PDF document upload as attachments on files and stage requirements
- Email support
Solo offers the same feature set as Basic except for the team-member cap. Upgrade to Basic when you need to add team members.

Basic plan: the standard paid tier. Includes:
- Up to 3 team members
- Unlimited files (no lifetime cap)
- Document scanning & multi-page PDF generation
- Full financial tracking (per-file expense / revenue ledger, USD & LBP)
- Stage & status tracking
- Email support
The following features are not available on the Basic plan and require Premium:
- Financial reports & export (PDF / HTML financial reports)
- PDF document upload as attachments on files and stage requirements
- Unlimited team members

Premium plan: the enterprise tier. Includes everything in the Basic plan, plus:
- Unlimited team members
- A dedicated account manager — a specific KTS team member personally assigned to your organisation for direct support and onboarding
Paid plans are activated by subscribing through our plans and paying with your credit card. Payment terms, amounts, and billing cycles are agreed directly between you and KTS at the time of subscription.
- We reserve the right to change pricing with 30 days' written notice to existing paying subscribers.
- Refund requests are considered on a case-by-case basis. Contact us within 7 days of a payment if you believe a refund is warranted.
- Exceeding the limits of your current plan does not automatically upgrade your subscription until you renew it by managing your plan.
- When a plan limit is exceeded (lifetime file count, team member count, or 30-day trial), a 2-day grace period begins, during which the application continues to function with a warning banner. After the grace period expires without an upgrade, the application is locked until a paid plan is activated. All data remains intact during the locked state.
6. Data Ownership
Your data belongs to you. KTS claims no ownership over any client files, documents, financial records, or other content your organisation enters into GovPilot. We process your data solely to provide the service you have subscribed to.
You grant KTS a limited, non-exclusive licence to store, display, process, and transmit your data as necessary to operate and improve the service. This licence terminates when your organisation deletes its data or closes its account.
7. Data Security and Availability
We implement reasonable technical measures to protect your data, including:
- Encrypted data transmission (HTTPS/TLS).
- Encrypted data storage via Supabase on Amazon Web Services.
- Row Level Security (RLS) database policies isolating each organisation's data.
- Bcrypt password hashing — we never store or see your plaintext password.
No system is 100% secure. We cannot guarantee uninterrupted availability. The Free plan does not include an uptime Service Level Agreement (SLA). Paid plans may include uptime commitments agreed at the time of subscription.
We are not responsible for data loss resulting from actions taken by you or your team within the application (e.g. accidental deletion of files or transactions).
8. Account and Data Deletion
You may delete your personal account at any time from Account → Security → Delete Account in the app. Upon deletion:
- Your personal profile and authentication credentials are permanently removed.
- File and client data associated with your organisation remains accessible to the organisation owner.
- Deleted accounts and data cannot be recovered.
Organisation owners must transfer ownership to another admin before deleting their own account. To delete all organisational data, contact us at the address below.
9. Termination by Us
We reserve the right to suspend or terminate accounts that violate these Terms, engage in fraudulent activity, or present a security risk to the service or other users. We will make reasonable efforts to notify you before termination and to preserve your data for a reasonable period except where severity requires immediate action.
10. Limitation of Liability
To the maximum extent permitted by applicable law, KTS shall not be liable for any indirect, incidental, special, or consequential damages arising from your use of GovPilot, including but not limited to loss of data, loss of revenue, or business interruption.
Our total aggregate liability to you for any claim arising out of or related to these Terms shall not exceed the total amount you paid us in the 12 months immediately preceding the event giving rise to the claim. If you are on the Free plan, our liability is limited to USD 100.
11. Disclaimer of Warranties
GovPilot is provided "as is" and "as available" without warranties of any kind, express or implied, including warranties of merchantability, fitness for a particular purpose, or non-infringement. We do not warrant that the service will be error-free, uninterrupted, or free from security vulnerabilities.
12. Changes to These Terms
We may update these Terms as the service evolves. We will notify registered users of material changes via push notification or email at least 14 days before the new Terms take effect. Continued use of GovPilot after the effective date constitutes acceptance of the updated Terms.
The "Last updated" date at the top of this page reflects when the most recent version was published.
13. Governing Law
These Terms are governed by the laws of the Republic of Lebanon. Any dispute arising out of or relating to these Terms or the use of GovPilot shall be subject to the exclusive jurisdiction of the competent courts of Beirut, Lebanon.
